Owen Reed is looking to recruit an innovative HR Operations Coordinator to join a top law firm in London.
POSITION OVERVIEW
This position supports the efforts of the Firm’s Human Resources (HR) department, working with the HR Operations team to provide a seamless HR Operations service.
JOB RESPONSIBILITIES
HR Operations Inbox
- Coordinate the London HR Operations inbox, ensuring queries are allocated to team members as appropriate.
- Ensuring all employee queries are responded to using the standard email response templates and escalated where appropriate.
- Responsible for reviewing team draft emails for complex matters.
HR Systems
- Primary responsibilities are related to accurate and timely data entry into PeopleSoft for new hires, personal changes such as name, phone, address, email, citizenship, visa, education, languages, office/cube updates, teleworker agreements etc for the London, Paris, Brussels & Riyadh o
- Take the lead with maintaining / auditing the PeopleSoft database for the London, Paris, Brussels & Riyadh offices. Conducting the weekly audit of joiner information.
- Provide support and guidance to London, Paris, Brussels & Riyadh staff in the use of PeopleSoft, including training new joiners.
- Ensure any technical issues with the system are promptly raised, supporting with full investigation and testing as required.
- Support the HR Operations team in testing bug/issue fixes, system enhancements and developments to PeopleSoft.
- Identify needs and work to provide ad hoc reports to Directors/Managers as and when required.
- Coordinate the International offices on the transfer and secondment process, in line with the US.
- Provide HR Operations back up for relevant team members in all critical PeopleSoft functions including timecard review.
- Run queries out of PeopleSoft to support requests for data. Check queries run by team for accuracy and formatting prior to distribution.
Payroll
- Responsible for accurately updating PeopleSoft with all payroll data changes for the London office.
- Preparation and validation of the monthly payroll information for the London office.
- Responsible for running the Deduction Calculation (ded calc) process in PeopleSoft and liaising with benefits team to investigate any queries which arise.
- Responsible for running the monthly timesheet reconciliation process and dealing with/investigating all queries in relation to the process.
- Responsible for running the monthly Associate Vacation reconciliation process and dealing with/investigating all queries in relation to the process.
General
- Provide the HR Operations team with general administration on projects and other duties as needed.
- Assist the HR Operations team with preparing and reviewing process documentation across the function.
- Screen telephone calls and record messages for the HR Operations team.
- Schedule meetings, manage diaries and take accurate meeting notes as requested.
- Liaising with other departments within the London, International and US offices.
